• Business data: estimated shipping volumes, destination countries, and parcel characteristics you provide during onboarding or consultations.
• Platform data: account credentials, shipment history, booking references, and preferences held within our platform.
• Communications data: records of emails and messages you exchange with us.
• Technical data: IP address, browser type and version, time zone, operating system, and pages visited, collected automatically when you use our website.
• Cookie data: session and analytics cookies placed on your device — see Section 8 for details.

3. How We Use Your Data

We use your personal data for the following purposes:

• Account setup and service delivery: to create and manage your account, process shipments, generate invoices, and provide customer support.
• Email communications: to send service-related updates, pricing changes, and (where you have not opted out) relevant commercial messages via Titan Email.
• CRM management: contact records and interaction history are stored in HubSpot CRM to help us manage our business relationship with you efficiently.
• Call booking: if you book a consultation, your name, email, and chosen time slot are processed by Calendly to schedule and send calendar invitations.
• Analytics and improvement: we analyse aggregated website usage data to understand how our site is used and to improve its performance and content.

4. Legal Basis for Processing

We process your personal data under the following lawful bases set out in GDPR Article 6:

• Contract (Article 6(1)(b)): processing necessary to perform our agreement with you, including account creation, shipment fulfilment, and invoicing.
• Legitimate interests (Article 6(1)(f)): processing necessary for our legitimate business interests, including operating our CRM, analysing website usage, and sending relevant commercial communications to existing and prospective customers — where those interests are not overridden by your rights.
• Legal obligation (Article 6(1)(c)): processing required to comply with applicable law, including tax and financial record-keeping obligations.
• Consent (Article 6(1)(a)): where we rely on consent (e.g. analytics cookies), you may withdraw it at any time without affecting the lawfulness of prior processing.

5. Data Retention

We retain your personal data for as long as your account is active and for a reasonable period thereafter to handle any follow-up queries. Financial and transactional records are retained for 7 years from the date of the relevant transaction in order to comply with HMRC record-keeping requirements. After the applicable retention period, data is securely deleted or anonymised.

6. Third Parties We Share Data With

We share personal data only with trusted third-party service providers who process it on our behalf and are bound by data processing agreements:

• HubSpot, Inc.— CRM and marketing platform. Data is stored on servers in the United States under Standard Contractual Clauses approved by the European Commission.
• Calendly, LLC— meeting scheduling. Processes name, email, and calendar availability when you book a call.
• Titan Email— business email hosting for our domain. Stores inbound and outbound email communications.
• Vercel, Inc.— website hosting and infrastructure. Processes IP addresses and request logs as part of serving our website.

We do not sell, rent, or trade your personal data to any third party for their own marketing purposes.

7. Your Rights

Under UK GDPR, you have the following rights in relation to your personal data:

• Right of access: to request a copy of the personal data we hold about you.
• Right to rectification: to ask us to correct inaccurate or incomplete data.
• Right to erasure:to ask us to delete your data in certain circumstances (“right to be forgotten”).
• Right to data portability: to receive your data in a structured, commonly used, machine-readable format.
• Right to object: to object to processing based on legitimate interests or for direct marketing purposes.
